FresMare Vendor Policies
Thank you for vending at FresMare! These policies are here to help keep the vendor space safe, friendly, and organized for vendors, attendees, staff, guests, and venue employees.
By vending at FresMare, vendors agree to follow these Vendor Policies, the FresMare Code of Conduct, venue rules, and all applicable city, state, and federal laws.
General Requirements
Vendors must be 18 years or older to vend at FresMare. A government-issued photo ID may be required at check-in.
All vendors and assistants must have the appropriate FresMare badge or vendor credential. Badges and credentials may not be shared or transferred.
Vendors are expected to follow reasonable instructions from FresMare staff, venue staff, and security.
Vendor Setup and Table Use
Vendors may only set up during approved setup times and must check in before setting up.
Tables, chairs, signage, and venue/convention property may not be moved without staff approval. Vendor displays must stay within the assigned space and may not block walkways, exits, other vendors, or attendee traffic.
Displays should be safe, stable, and appropriate for a public convention space. FresMare staff may ask vendors to adjust or remove displays that are unsafe, disruptive, or not appropriate for the area.
Table sharing with another artist, vendor, or business must be approved by FresMare in advance.
Sold Content and Merchandise
Vendors are responsible for the items they sell. Bootleg, pirated, counterfeit, stolen, or unauthorized mass-produced goods are not permitted.
Vendors may not sell merchandise using another artist’s work without permission. FresMare staff may ask vendors to remove items that appear to violate convention policy, venue rules, or applicable law.
FresMare does not allow vendors to sell or display AI-generated artwork as merchandise. This includes artwork, prints, stickers, charms, buttons, badges, posters, adoptables, commissions, or other visual products where the primary image was generated by an AI image-generation tool.
AI-generated artwork may not be used as a substitute for original artist-created work, traced work, commissioned work, or properly licensed artwork.
FresMare staff may ask vendors to remove items that appear to violate this policy. Final discretion on whether an item is allowed rests with FresMare staff.
Mature or Adult Content
FresMare is an all-ages event except where otherwise stated. 18+ artwork, merchandise, or adult content may only be sold or displayed in approved 18+ areas, such as the NightMare Night After Dark Panel,, unless explicitly approved by FresMare.
Adult content may not be visible in general/all-ages vendor areas.
FresMare staff have final discretion on what must be covered, moved, removed, or restricted.
Food and Drink
Vendors may not sell food or drink unless approved by FresMare and the venue in advance. Food and drink items may also require permits or other legal requirements.
Noise and Conduct
Please keep music, videos, demonstrations, and other audio at a reasonable volume. If noise from a table is disruptive, FresMare staff may ask the vendor to lower or stop the sound.
Vendors may not harass, pressure, block, or aggressively solicit attendees. Vendors must follow the FresMare Code of Conduct at all times.
Cancellations and No-Shows
If a vendor needs to cancel, they should contact FresMare as soon as possible. Refunds, credits, or transfers may be handled according to FresMare’s published refund policies or on a case-by-case basis.
Vendors who do not check in by the required time may be considered a no-show, and their table may be released or reassigned without refund.
Taxes and Legal Responsibility
Vendors are responsible for understanding and following any tax, permit, license, or legal requirements that apply to their sales. FresMare is not responsible for a vendor’s unpaid taxes, missing permits, or other legal obligations.
Theft, Damage, and Safety
Vendors are responsible for their own money, merchandise, equipment, and personal property. FresMare will make reasonable efforts to provide a safe vendor environment, but FresMare is not responsible for lost, stolen, or damaged property, except where required by law.
Vendors are responsible for damage they cause to venue property, convention property, or another person’s property.
Please report theft, damage, suspicious behavior, safety concerns, or emergencies to FresMare staff as soon as possible.
Policy Enforcement
Failure to follow these policies, the FresMare Code of Conduct, venue rules, or applicable law may result in a warning, removal of specific items, temporary closure of a table, loss of vending privileges, removal from the convention, badge revocation, or being barred from future FresMare events.
FresMare will make reasonable efforts to handle issues fairly, but staff decisions may be made based on safety, venue requirements, legal concerns, or the needs of the event.
